Why You Need Project Management Software Now
Running a construction business in 2024 without project management software isn’t a badge of honor—it’s a liability. As a COO who’s tried no fewer than half a dozen PM tools, from Procore and Buildertrend to custom-built CRMs, I’ve seen firsthand what works, what doesn’t, and why you can’t afford to ignore this anymore. Keith, my co-contributor and a few years my senior, is embracing tech like a champ (hence this collaboration), and you should too. It’s time to get over any resistance to technology—the learning curve is far less steep than you think, and the benefits are undeniable.
The Benefits of Using Project Management Software
Streamlined Operations: No more juggling spreadsheets, emails, and paper notes. PM software centralizes your data, keeps your tasks organized, and ensures everyone is on the same page, reducing mistakes and saving time.
Improved Communication: Whether it’s with your team, subs, or clients, good communication is key. PM tools offer built-in messaging, file sharing, and real-time updates that keep everyone in the loop and eliminate the back-and-forth chaos.
Job Costing and Accounting Clarity: The days of guessing whether you’re making money on a job are over. With the right software, you can track job costs in real-time, measure profitability, and make informed decisions on the spot. Isn’t that why we’re in business—to make money?
Scheduling and Resource Management: Easily plan out your projects, assign resources, and adjust timelines as things change (because we all know they will). With automated reminders and calendar syncing, you’ll never miss a deadline or an important task again.
Customer Satisfaction: From transparent communication to smooth scheduling, PM tools enhance your customer experience, which keeps them coming back and referring others. A happy client is the best marketing you’ll ever have.
Recommendations Based on Your Niche
Not all PM software is created equal, and the best tool for you depends on your business type and the complexity of your projects. Here’s what I suggest:
Jobs Under a Week: If your projects are quick-turnaround, like handyman services or emergency plumbing, go with Housecall Pro. It’s simple, intuitive, and perfect for managing small jobs efficiently.
Home Remodeling or Longer Projects: If you’re handling more extensive projects, Buildertrend is your go-to. It’s packed with features specifically designed for home builders and remodelers. Just be sure to use all the features—most clients I consult are only using 20% or less of Buildertrend’s capabilities.
Large Companies: Procore is the gold standard, but unless you’re running a large-scale operation, the complexity and learning curve might not be worth it. It’s powerful, but it’s best suited for bigger firms with dedicated staff to manage the software.
Don’t Just Buy It—Use It Fully
Investing in PM software is just the first step. The real value comes from diving deep and using its full suite of features. From budgeting tools to QuickBooks integration, don’t leave money on the table by only using a fraction of what you’re paying for.
In 2024, the right project management software isn’t just a nice-to-have—it’s essential. Embrace the technology, streamline your operations, and watch your business thrive. If you need help setting up your software or want to know the best workflow, reach out to me directly or keep an eye out for future articles where I’ll dive deeper into the best practices.
Get the software, get organized, and get ahead—because in today’s construction business, that’s the only way to win.
